Exhibitor Personnel
Each exhibitor may register up to four representatives per exhibit space to work the exhibits. Please register your company representatives with BrendaS@coavision.org so a badge will be available for them. Exhibitor registration includes entrance to the exhibit area only. Exhibitor personnel may register to attend other symposium functions by paying standard conference registration rates.

Hotel Accommodations
The official conference hotel is the Monterey Marriott. A block of rooms is being held for attendees and exhibitors at special, discounted rates for a limited time only. Simply mention that you are attending the "COA Monterey Symposium" to receive the discounted rates:

Deadline for special rates: October 25, 2009
Room Rate: Single/Double Rooms, $214 per night
(plus tax)

All exhibitors are responsible for making, changing or canceling their own hotel accommodations.


Exhibit Space Fees and Booth Selection

Exhibit Hall Space Fees:
Multiple booths are available and booth configurations can be changed to accommodate special needs or requirements.

Standard booth (8 x 10): $1,400
Corner booth (8 x 10): $1,550
Standard booth (10 x 10): $1,700
Corner booth (10 x 10): $1,850

Booth Selection:
List your top three choices on the Exhibit Space Contract. Please refer to the floor plan for available booth space, or contact Tamalon Littlefield directly at (800) 877-5738. If one of your top choices is available, you will receive a confirmation of booth space. If not, you will be contacted to select another available choice. Booth space is assigned using an established priority system.

Monterey Symposium Show Management reserves the right to re-assign booths to settle any location irregularities without prejudice.

Exhibit Space Rental Includes:

  • 8' high back wall drape in the official show colors of blue and silver
  • 3' high side rail drapes in the official show colors of blue and silver
  • One 7"x44" one-line booth identification sign with company name and booth number
  • Listing in the Conference Program and Exhibitor Guide
  • Electronic copy of the advanced registration mailing list for one-time use
  • 24-hour general Exhibit Hall Security
  • Exhibit Hall registration for up to four of your personnel per booth space

Exhibitor Contract/Payment Procedures

Exhibitors must submit a completed, signed exhibitor contract to apply for exhibit space. Download the exhibitor contract here.

Deposit: A non-refundable deposit of 50% per booth reserved is required to hold space, payable by check, VISA, MasterCard or AMEX. If payment is not received 30 days after contract is signed, your booth is no longer "reserved."

Full payment due: August 14, 2009 at close of business day. If final payment is not received by that date, your booth will be released.

After August 14, 2009: Booth assignments will occur on a continuous, first-contracted and paid, first-assigned basis.

To make sure your company information is included in the onsite Conference Program and Exhibitor Guide, please e-mail the following by August 21, 2009 to BrendaS@coavision.org:

  • 50 word (or less) description of company products/services
  • Company logo submitted electronically in a high resolution (300 dpi or more) format such as EPS, TIF, JPG, PDF. (All logos will be reproduced in black and white or two-color in the Conference Program and Exhibitor Guide.

Exhibit Space Cancellation Policy

Please notify COA directly regarding your cancellation of space.

Please refer to the contract language specifics regarding booth space cancellation after contract acceptance.


MARKETING OPPORTUNITIES

COA Buck$: Helping to Promote Sales
on the Exhibit Hall Floor

COA Buck$ are a marketing tool to help exhibitors generate traffic and sales to your booth at the Monterey Symposium. Plus, reminders to visit the Exhibit Hall and to spend COA Buck$ are made at the start of each educational session.

All ODs and Paraoptometric staff who register for unlimited hours of continuing education (CE) will receive $50 and $20, respectively, in COA Buck$.

Attendees may only use these vouchers towards purchases made in the Exhibit Hall during the 2009 Monterey Symposium. We request that exhibitors accept the COA Buck$ towards orders placed onsite during the Symposium. COA will reimburse participating exhibitors for all coupons redeemed at the close of show only. Guidelines and forms for redemption are forwarded to all contracted exhibitors prior to the Symposium.
